Wedding Coordination


If you are going to hire a wedding consultant for anything, it will probably be for day-of wedding coordination, which should actually be called “week-of” or “weekend-of” coordination, and involves some preparation even further in advance. This service includes a number of meetings with your consultant before the wedding to provide her with copies of your vendor contracts and contact information for everyone in the bridal party. Your consultant will also provide general advice and support before the big day to make the planning process less stressful. On the day of the wedding, you’ll be able to relax and enjoy one of the biggest events you’ll ever host without asking your family and friends to “work” for you. It’s almost like an insurance policy—ensuring that the plans you made for your special day are executed just as you envisioned them.

An Urban Affair’s wedding coordination package includes:

Wedding Coordination (including Rehearsal)

Monthly email check-in by consultant through planning process

Personalized to-do timeline

Includes at least two meetings with consultant prior to the rehearsal, during which the starred* items must be jointly determined, ideally with one of the meetings held at the wedding and reception site

Individualized ceremony information packets for each bridal party member, with itinerary, maps, & job lists

Rehearsal Direction

Consultant on-site from pre-ceremony through reception (maximum eight hours; $80 an hour charge if longer)

Assistant consultant on-site for approximately five hours

Day-of Responsibilities Include:

Oversee direction of schedule of events

Day-of vendor coordination

Bouquet, corsage and boutonnière coordination

Delivery of non-vendor items to ceremony or reception (such as programs, ceremonial objects, toasting glasses, cake and knife set, etc.)

Set-up coordination (flowers, decorations, table settings, gift and cake table, musicians, DJ, etc.)

Ceremony Coordination (ushering and hosting of guests before and after ceremony, overseeing of assigned ushers, organizing bridal party’s entrance/processional)

Photography Coordination (ensuring all family and bridal party members are organized and ready for photos, and that photos are completed on time)

Reception Coordination (organization and introduction of bridal party, receiving line, cocktail hour, seating for dinner, toasts, cake-cutting, first dance, bouquet and garter toss, etc.)

Band or DJ direction, including announcements and proper name pronunciation

Bridal Party emergency kit on-site
